Student Progress tracking: The idea
The purpose of this meeting is to quickly highlight students that need further action to hit their end dates.
To provide one source of the truth, alignment across departments/teams and avoid 100's of emails and spreadsheets, anyone at the school that has an interest in a change to student end dates or has input into their day to day training (at a high level) should be in the meeting. The aim is for these meetings to take 10 minutes to 1 hour if you have 400+ students to review, this is where you spot the anomalies instead of having to discuss each student in detail. It can take a few months to get familiar enough with this process to reach this point.
PLANNING TIP: The more realistic the plan for each student the less updating and discussing you will need to do.
FREQUENCY: Weekly
ATTENDEES: this list will differ depending on the size of your school, you may have one person filling multiple roles or Instructors scheduling for their group of students.
Training team leaders:
They need awareness of how often a student needs to fly, when their phase or course end date is. They need to inform the group of any issues that might prevent the student from achieving an end date or for being scheduled that week.
Scheduler:
They need to know which students are the priority this week, the pace that each student needs to fly, and any other information that will impact the daily schedule i.e aircraft out for the week, Instructor or student leave, theory classes etc
Planner:
They are the transition point between the long term plan and the day to day. They will make changes in Aeroplanned to the long term plan based on major deviations in the day to day execution of a students timeline.
Ops/Person running the daily schedule:
They need to be aware of who is a priority student so they can use these students first to fill any gaps that become available during the day. If they have to juggle resources they will know who has to fly and who can be rescheduled for another day.
Student Welfare person/Person changing anything to do with end dates:
This person needs to raise any issues that will prevent a student flying or hitting target. They also need to be aware of likely delays to end dates so they can manage visas, aeroplane tickets, accommodation, per diems, airline start dates etc.
